General Regulation - Terms & Conditions

 

0 - General

The terms and conditions set out in this Agreement will apply to the relationship between the guest and OAK NATURE from the moment the reservation is made and until the time the stay in the accommodation ends.

Where the Terms and Conditions are omitted, the Portuguese legislation in force will apply.

 

I - PRICE INFORMATION

The prices of the rooms shown are per night; for occupancy of two adults. 

The use of an extra bed in the room for children and / or adults is subject to an additional supplement, in the following terms: 

  • for babies/children up to 2-3 years old, sleeping in a crib, is free of charge; 
  • for children from 3 years old and adults, with the use of an extra bed, the accommodation has a supplement of 30 euros (per night/person).

All daily rates include buffet breakfast per person and access to the outdoor pool as well as the health club gym, sauna, Turkish bath and jacuzzi, limited to opening hours.

The rates and amounts indicated in the terms and in the accommodation contract include VAT, unless expressly stated otherwise.

II - MAXIMUM OCCUPANCY OF ROOMS  

The rooms allow a maximum occupancy of 2 adults. These can, however, accommodate 1 or more children and / adults, in one or more extra beds (sofa beds).

 

III - COMPLEMENTARY SERVICES

 

III.i. SPA, SWIMMING POOL AND GYM

OAK NATURE has an outdoor heated pool, health-club gym, sauna, Turkish bath and jacuzzi, with its own rules of use and opening hours.  

The opening hours and use of the above services are as follows:

  • Outdoor swimming pool: from 8:00 am to 8:00 pm 
  • Health-club gym: from 8:30 am to 7:30 pm;
  • Spa, sauna, Turkish bath and jacuzzi services from 10:30 am to 7:30 pm.

The guest must make a prior reservation for the use of spa services, Turkish bath, sauna, jacuzzi, in order to guarantee availability in the use of the indicated services. The periods for using the spa services are a maximum of 30 minutes per treatment, or 40 minutes in the case of the gym, to be confirmed at the reception of the accommodation. 

Upon arrival, a bathrobe,spa towel and slippers per person will be available for use in the additional spa services.

III.ii. BREAKFAST AND RESTAURANT

All daily rates include buffet breakfast per person served in the accommodation's dining area. Breakfast may take into account individual dietary restrictions, such as gluten and lactose intolerance, upon prior communication to the hotel reception, at least the day before. 

The accommodation has a bar and cafeteria service available during the afternoon, with drinks, snacks, light meals and hot dishes. Hot plate orders must be made in advance at reception.

The opening hours and use of the above services are as follows:

  • Buffet breakfast: from 8:00 am to 10:45 am 
  • Snack & bar services: from 12:00 pm to 8:30 pm

On request, OAK NATURE also offers a 'room service' service for breakfast with an additional fee of 5 euros and maximum consumption of 10 items. 

Each room has a minibar that can be connected and filled with prior notice. The values ​​for consumption of the bar and minibar are deducted from the guest's account at check-out. 

 

III.iii. DAILY CLEANING OF ROOMS

When the stay is longer than one night, the accommodation will carry out basic cleaning of the room daily, provided that the key is delivered to reception by 11:30 am and this will take place between 11:30 am and 3:00 pm. Cleaning consists of airing the room, making the bed, cleaning exposed products, replacing amenities and toilet paper. Bath towels can be changed on request. For a longer stay, bed linen will be changed every three days. 

 

IV - AVAILABILITY, CANCELLATIONS, CHANGES, NON-ARRIVAL AND EARLY DEPARTURES

Reservations, cancellations and their changes will be managed in accordance with the instructions stipulated either in direct sales or through online booking platforms.

Reservation management is carried out directly by our reception, which is open from 9:00 am to 9:30 pm.

 

IV.i. CANCELLATION POLICY

A política de cancelamento do Oak é a seguinte:

  • Reservations can be canceled, without penalty, up to 30 days before the scheduled arrival, with a full refund of the amounts paid;
  • From that date (30 days), the cancellation of reservations implies the non-refund of the total amount paid (without the right to any refund).

 Communication of cancellation of reservations must be made in writing. Refunds are preferably made by bank transfer or another method to be agreed between the parties. 

Mais se informa, que nos cancelamentos comunicados em tempo útil,  a partir da data de não reembolso dos valores pagos, o Oak poderá aceitar, mediante aprovação da gerência, a alteração das datas da reserva, se motivo atendível.

 A Oak reserva-se o direito de definir outras políticas de cancelamento para parceiros de plataformas de gestão de reservas.

In the event of non-arrival and/or early departure, any deposit paid is non-refundable and the total stay will be charged. For this purpose, the accommodation reserves the right to offset the amount payable for such cancellation against the guest's credit card, without prior notice or guest approval, where applicable. However, written notice of this charge will be sent to the guest.

 

V - PAYMENTS

 

All major credit and debit cards (after check-in) are accepted. 

 The accommodation has the right to terminate the contract of stay if the guest does not pay the price in full and on time when it is due or does not provide the required guarantee.

 

VI - ARRIVAL AND DEPARTURE POLICY

The hours of operation for arrivals and departures at the Oak are as follows:

  • Arrival (check-in): from 3:00 pm to 9:30 pm. 
  • Departure (check-out): from 9:00 am to 11:30 am. 

In exceptional situations and with authorization, early/late check-in may be guaranteed by OAK NATURE. In case of late check-in or check-out, an additional fee of 20 euros may be charged. 

For guests checking out after 2 pm, the accommodation reserves the right to charge an additional night, quoted at the best rate available at the time.

Rooms are reserved until midnight on the day of booking, if you do not show up by the scheduled time, the accommodation reserves the right to consider the reservation canceled and make the room available for rebooking. 

Accommodation at OAK NATURE requires the presentation of a legal identification document for the guest, whose information regarding personal data is protected in accordance with the General Data Protection Regulation - Regulation (EU) 2016/679. If you are a foreign citizen, Oak Nature will report in the accommodation bulletin, as provided by law, the permanence of your space to the Foreigners and Borders Services.

 

VII - SMOKING POLICY

Oak operates a NO SMOKING policy in all indoor areas, including: guest rooms, hallways and indoor public areas. Failure to comply with our NON-SMOKING policy will incur a fee of 200 euros to facilitate the cost of tobacco odor removal. 

Designated smoking areas have been allocated within the hotel's exterior grounds – please inquire at check-in. 

 

VIII - SILENCE POLICY

The Oak has a SILENCE policy from 10pm to 8am, so as not to disturb the sleep of guests. Failure to comply with our SILENCE policy will incur a fee of 150 euros.

 

IX - ANIMALS 

It is expressly forbidden to lodge animals in the accommodation, except for guide dogs. The improper introduction of animals will allow the accommodation to immediately terminate the contract with the guest and force him to leave the accommodation without being refunded the amounts paid in the meantime for the availability of the room during the contracted period of stay.

 

X - PARKING

Oak has its own car park, free of charge for hotel guests and subject to the availability of parking spaces. OAK NATURE is not responsible for damage or theft of vehicles parked on its premises.

 

XI – VOUCHERS

The voucher is only available in digital format (e-voucher). This will be sent to the email address provided by the user upon successful purchase.

The voucher contains, at least, the following essential elements: identification code that guarantees its uniqueness and authenticity, content of the offer and expiry date for its use.

For its use, you must present it, in digital or paper format, when booking the services contracted therein.

The voucher can be transferred by the purchaser to third parties, however it cannot be shared among several users (unless mentioned in the campaign conditions). 

The voucher is for single use, unless otherwise stated. If the value of the voucher is not used in full or the service is not used in full, the unused difference will expire and there will be no refunds.

Failure to use the voucher until the end of its validity implies its nullity and cannot be used at a later date. 

 

XII - DATA PROTECTION POLICY

Oak complies with the provisions contained in the Personal Data Protection Regulation 'RGPD'.

Unless otherwise specified, the guest's personal data must be deleted when the accommodation contract ends and the legal retention periods have expired.

XIII - COMPLAINTS AND RESPONSIBILITIES

In the event of theft or property damage, or in the event of flood or fire or other damage to the hotel room, the guest must immediately inform the accommodation staff and collaborate in resolving the reported situation.

Oak will have the right to immediately terminate the stay contract, without the right to the amounts paid in the meantime, if the guest has any behavior that affects the good coexistence, peace or hygiene of the accommodation, namely if he is under the influence of drugs or alcohol, use of the hotel room for illicit practices, act offensively to staff or other accommodation guests, disturb the peace, or, have maliciously made false reservations and/or damaged or destroyed the accommodation facilities.

Any comment or complaint regarding the stay must be made at the reception of the accommodation at the time of the visit, so that the matter can be resolved immediately.

Oak will only be responsible for damages or losses to the guest when such facts result from the accommodation's fault.

O Oak não se responsabiliza por falhas no desempenho, caso a falha seja causada por qualquer fator exterior que não esteja ao alcance do seu controlo razoável. O alojamento reserva-se no direito de cobrar aos hóspedes o custo de retificação de danos causados ​​pelo ato deliberado, negligente ou imprudente, omissão ou negligência dos hóspedes em relação à propriedade ou estrutura do alojamento. Caso este dano venha a público após a sua partida, o alojamento reserva-se no direito de cobrar no cartão de crédito do hóspede, ou enviar uma fatura no valor necessário para compensar ou reparar qualquer dano. O alojamento fará todos os esforços para manter quaisquer custos que o hóspede possa incorrer num valor mínimo.

In the event of a dispute, the guest may resort to an alternative Consumer Dispute Resolution Entity: Braga Consumer Conflict Arbitration Center.
